Membership Terms & Conditions

Organizational Mission

Rudra United & Eindhoven Badminton Academy (hereinafter referred to as ‘Rudra’ or ‘EBA’) has a clear 3-fold mission:

  1. Promote Networking, Socializing and Healthy lifestyle via the medium of playing Sports together.
  2. Be one of the most inclusive, international, economical and flexible Badminton Clubs in the Netherlands region.
  3. Groom Talent from a young age and create opportunities for the Youth to potentially become professional sports players in the future.

 

General

This page outlines the Terms and Conditions of Membership Plans offered by Rudra. The membership plans applies to participants who subscribe to playing badminton, as organized and hosted by Rudra United & Eindhoven Badminton Academy (KvK number: 80223982).

 

Definitions

  1. Season: The period spanning from September to August each year.
  2. Membership: An agreement between a player and the Rudra, allowing the player to be a part of the Rudra organization.
  3. Recreational Adults or University Students: Non-competitive adults who are registered under the Recreational Adults division of the Rudra organization.
  4. Competitive Adults or University Students: The senior competitive wing of the Rudra organization.
  5. Eindhoven Badminton Academy (EBA): An officially certified badminton academy for youth talent development. It is also an offical trade name of our organization.
  6. Recreational Youth: All youth members registered with the Eindhoven Badminton Academy who are not (yet) part of the Elite Youth Talent Development Program.
  7. EBA Selection: Youth players selected by the EBA coaching team to participate in the intensive Youth Talent Development Program at EBA.
  8. RTC-EBA & EBA Elite: Youth players selected by the EBA & Badminton Nederland coaching team to training under Regional Training Center at EBA.
  9. Household / Family: Two or more members — in any combination of Recreational Adults, Recreational University Students, and EBA Foundational Youth — residing at the same address and registered concurrently with Rudra.
  
Memberships Types

Rudra currently offers 2 types of membership for all her members.

  1. Monthly membership: Monthly membership gives flexibility to contribute on a Monthly basis. Monthly members are also free to terminate their membership anytime during an ongoing season.
  2. Annual membership: Annual membership offers a more economical option for players which spans for the entire season (typically from September – August). An Annual membership is also a commitment for the entire season, and it is not possible to terminate one’s membership during an ongoing season. Annual members may use the Membership Pause facility described below; see that section for how a pause affects an Annual membership’s term.

Rudra United Senior Players participating in Competition (Bondscompetitie) are required to be Annual members of the club. Their contributions will be collected at the start of the season (typically in September) in one installment.

EBA Selection participants are also required to be Annual members of the club. Their contributions will be collected either on a Monthly or an Annual basis, at the start of the season (typically in September).

General Conditions for all Members

Sporting Equipment:
The club will provide the following:

  • Nylon Badminton Shuttles (Yonex Mavis 300 or equivalent) for Recreational Adults, Recreational University Students, and EBA Foundational Youth.
  • Feather shuttles for facilitating trainings of Competitive players, EBA Elite Talent Groups, RTC players, and Recreational Adults/University Students who have opted into the Training add-on.
  • Members/players are expected to bring their own personal equipment, such as rackets, shoes, etc. At present, there is no provision for borrowing any equipment from the club/academy.

Venue/Facility:
Rudra-organized badminton events require renting indoor facilities (e.g., sports halls). These facilities are typically reserved for an entire season, spanning 12 months, based on the number of expected members. This ensures optimal facility usage and mitigates potential financial losses. There may be instances where venues are unavailable due to reasons beyond Rudra’s control (e.g., scheduled maintenance, public holidays, etc.). In such cases, efforts will be made to arrange an alternative venue in reasonable proximity to the regular location, though this cannot be guaranteed. Members will be notified of any changes at least one week before the event. If the event time needs to be adjusted, we will strive to keep it as close as possible to the regular timeslot.

Contribution Collection and Invoices:
By submitting the membership form, participants consent to having their membership contributions collected via automatic debit. Membership is valid only upon acceptance by Rudra. Contributions will be collected within the first two weeks of each calendar month. Itemized invoices are accessible to all registered members via the Badminton Nederland app.

Contribution Calculation for New Members:

  • Monthly Membership: For new members joining Rudra between the 1st and the last day of the month, the full monthly contribution for that month will be charged. No pro-rata reduction will be applied, regardless of when the membership is submitted and approved.
  • Annual Membership: Annual contributions will be calculated on a pro-rata basis depending on when the membership is accepted during the season (September – August). The following percentages will apply, and the contribution will be collected in a single installment:
    • September – November: 100% of the annual contribution.
    • December – February: 75% of the annual contribution.
    • March – May: 50% of the annual contribution.
    • June – August: 25% of the annual contribution.

In the event that a sports facility is unavailable for a scheduled day (e.g., due to public holidays), the contribution for that month will not be adjusted.

 

Adults Membership Conditions

  1. Membership Plan Choices: Members select their preferred weekday(s) and the frequency (number of times per week) they wish to play. The monthly or annual contribution is determined based on this selection.
  2. Training Add-on: Members may add coached Training sessions on top of their Recreation membership, at the rates published on the current Contributions page. The Training add-on is optional and billed separately from the base Recreation membership; it is not a substitute for it.
  3. Ad hoc Days: Members can sign up for additional “Ad hoc” days to play on a day outside their regular schedule. An extra fee applies for these days at the member rate.
  4. Payment and Refunds: Monthly contributions are collected via automatic debit. No adjustments, transfers, or refunds are allowed if a member misses a scheduled day they are registered for, other than via the Membership Pause facility described below.
  5. Switching Days: Switching to a different playing day within the same month is not allowed. Example: If a member is registered to play on Tuesdays and misses it, they cannot switch to Saturday that week. They can, however, sign up for an ‘Ad hoc’ day.
  6. Guest Policy: Registered adult players cannot invite family members or friends without informing Rudra Club Administrators in advance. This is distinct from the Household/Family Discount below, which applies only to family members formally registered as Rudra members in their own right, not to occasional guests.

 

EBA Youth Membership Conditions

  1. Training Schedule and Contributions: Participants applying for EBA membership must select their preferred weekday(s) and the number of training sessions per week. Their Monthly or Annual contribution will be determined accordingly.
  2. Non-Attendance Policy: If a member is unable to attend a scheduled session, the membership costs will not be adjusted, credited, or reimbursed under any circumstances, other than via the Membership Pause facility described below.
  3. Restrictions on Schedule Changes: While updating the membership plan for future periods is allowed, switching training days within a week or month is not permitted. For instance, if a member has chosen to train once a week on Saturdays but cannot attend a particular Saturday, they cannot shift that session to another day, such as Wednesday.
  4. Parent/Guardian Responsibilities:
    • Parents/Guardians must ensure that their children do not intentionally or unintentionally disrupt concurrently running recreational events.
    • Parents are not allowed to play during Youth Training sessions, as it distracts both the children and the coaching staff.
    • During training sessions, parents are expected to observe silently and refrain from instructing, cheering, or providing any form of feedback, vocal or non-vocal, to their children. Such actions may distract both the players and EBA coaching staff.
  5. Uniform Requirement: All players are required to wear EBA jerseys during training sessions and while representing EBA in tournaments and competitions. However, wearing jerseys of other associations or clubs is acceptable during events not hosted by EBA.
  6. Contributions for Tournaments and Competitions:
    • EBA Foundational Youth Players must contribute towards participation in EBA events and tournaments based on their chosen Monthly or Annual membership preferences.
    • EBA Selections and EBA Foundational Youth Players must contribute annually for participation in competitions (Bondscompetitie), as per the agreed membership terms.

 

Household / Family Discount

Households with more than one member registered concurrently — in any combination of Recreational Adults, Recreational University Students, and EBA Foundational Youth — receive a 20% discount on each additional member’s recurring membership contribution (2nd member onward). The discount applies to Recreation and Training add-on fees; it does not apply to one-time charges (registration, administrative fee, BN ID) or to the Youth Competition participation fee.

This discount does not apply to members registered in RTC-EBA, EBA Selections, or EBA Elite. It applies only to Recreational Adults, Recreational University Students, and EBA Foundational Youth, regardless of whether other household members are registered in the excluded categories above.

To register a household for this discount, existing and new members should inform Rudra at info@sportnsocialize.com, naming all family members already playing or intending to join for the season. The discount will be applied from the point it is reported and processed into the current or next contribution collection cycle; it is not applied retroactively to contributions already collected before the household was reported.

 

Membership Pause / Freeze

Active members may request to pause their membership for up to 2 months per season. A EUR 15 processing fee applies per freeze request, and is non-refundable once the pause has been processed. Pause requests should be submitted to info@sportnsocialize.com.

Membership resumes automatically at the end of the agreed freeze period. For Monthly members, no contribution is collected for the paused month(s). For Annual members, the membership’s end date is extended by the length of the pause, so that the full season’s worth of paid access is preserved; the paused period does not reduce the total contribution already collected.

The Membership Pause facility is separate from, and not a substitute for, Termination as described below.

 

Badminton Nederland ID (BN ID) Requirement

From 1 January 2027, Badminton Nederland requires all Rudra members — recreational and competitive, across all categories — to hold a valid Badminton Nederland association ID (BN ID). This is a Badminton Nederland requirement, not a Rudra policy, and the associated fee is set by Badminton Nederland. The current BN ID fee is EUR 27 per calendar year (1 January – 31 December), charged as a one-time annual charge; members will be notified separately ahead of the January 2027 collection cycle.

Active Competitive players are not required to pay this charge, as they are already registered with a BN ID under existing club requirements. The charge applies only to members who are part of Rudra United but do not yet hold a Badminton Nederland ID in the month of January 2027.

A member may be registered with Badminton Nederland through more than one club. Typically, only the first club to register a member with the association is responsible for that member’s association fee. Rudra will check existing BN ID registration status before applying this charge, so members already registered elsewhere will not be charged twice — no action is required from members on this point.

 

Change/Termination to/of Membership

  1. Changes to Membership: Any updates to the membership plan (e.g., adding more play days, changing designated play days, or opting for the Training add-on) must be communicated to info@sportnsocialize.com by the 20th calendar day of the preceding month. A change in membership preference incurs an additional administrative charge, as published on the current Contributions page.
  2. Updates to Personal Details: Members are required to promptly inform Rudra at info@sportnsocialize.com of any changes to personal details, such as bank account numbers or email addresses, to ensure uninterrupted membership services. A change in membership details (e.g. bank details) incurs an additional administrative charge, as published on the current Contributions page.
  3. Termination:
    • Only Monthly members can terminate their membership during an ongoing season. Termination requests must be submitted using the Membership Termination Form by the 20th calendar day of the preceding month.
    • Annual members cannot terminate their membership mid-season, but may use the Membership Pause facility described above. Annual members must notify Rudra by June 1st of their intention to terminate the membership for the upcoming season.

 

Refunds Policy

Refunds are not available for players registered in the following categories:

  • Recreational Adults
  • Recreational University Students
  • Competitive Adult Players
  • Competitive University Student Players
  • EBA Foundational Youth

This applies equally to the Membership Pause processing fee, which is non-refundable once a pause has been processed, and is not itself a refund of any prior contribution.

Participants in EBA Selection may be eligible for a refund only in cases of injury that prevent participation in the program and all sporting activities for the remainder of the season. The injury must be reported to the EBA promptly.

In such cases, a 50% refund will be offered for the proportional duration of non-participation. Refunds will be processed only at the end of the season.

 

Associated Liabilities

By becoming a member of Rudra, you acknowledge and agree to the following liability terms:

  1. Injuries and Accidents: Rudra is not liable for any injuries or accidents that may occur during training/recreational sessions, matches, events, or any other activities organized by the club. Members participate in all activities at their own risk.
  2. Disputes Between Members: The club is not responsible for mediating or resolving any disagreements, conflicts, or disputes that may arise between members.
  3. Theft or Loss: Rudra is not liable for the theft, loss, or damage of personal belongings brought to club premises or events. Members are advised to take necessary precautions to safeguard their belongings.
  4. Other Incidents: The club accepts no responsibility for any other unfortunate incidents or damages that may occur during or as a result of club activities.

 

Governance of Terms and Conditions

This “Terms and Conditions” document is subject to periodic updates to reflect changes related to membership. Members will be notified of any updates via the email address they provided. Questions or suggestions for amendments to the Terms and Conditions can be submitted to Rudra organizers via email.
